Providers Terms and Conditions

Thank you so much for participating in the school enrichment programs with After School Adventures. We are excited about all the great programs offered to our community. Please have your instructors print this document and have with them during class. It provides pertinent information to ensure program safety.

General Information:
Please read General Parent Information that is provided to parents and posted on the web site at www.afterschooladventures.co/policies

Onsite Monitor:
The school does not employ an onsite monitor.

Arrival Time:
Please arrive at least 15 minutes before program start time. If you are going to be delayed please call the school. School administration personnel will stay with the children until you arrive. Any provider who is consistently late will not be invited back.

Check-In:
When you arrive at the school, check-in with the office and let them know you are in the building. Receive an absentee list from the office.

Rooms:
The school has graciously donated their rooms. Please be considerate and clean-up after class. Items in the classrooms are not for use by providers.

Student Sign-in/Sign-Out:
You will be responsible to check your roster on the After School Adventures website through the Vendor portal. The roster includes student name, the person who is permitted to pick up the student, and a place to sign out the student. It will also indicate if students are permitted to sign them selves out and walk home. In addition, the roster will include an emergency contact number for each student should you need it. Keep your roster for sign out each week. The instructor is responsible for verifying the parents/guardians signing out.

Transporting Students to Program:
There is short period between when school is released and when most enrichment classes begin. The school is not providing an onsite monitor for the enrichment programs. School Administration will have a list of all students participating in enrichment. The teacher’s also receive a list of their students participating in enrichment.

The responsibility of transporting students to the cafeteria is the responsibility of the teacher. The responsibility of handing off the students to parents at the end of the day is the responsibility of each enrichment provider.

  1. Instructor goes to the school office and receives an absentee list and proceeds to the cafeteria.
  2. Enrichment participates will be delivered to the cafeteria by their teacher. Instructor will pick up students in the cafeteria.
  3. If all students are present, the instructor checks them off. The instructor communicates with Tammy Tyme personnel (after school day care located in the cafeteria) those students that are registered for Tammy Tyme and participating in the enrichment program.
  4. If any child is not present and not on the absentee list, the instructor either checks with the office, teacher’s room or Tammy Tyme to verify the child is absent or finds him/her and walks him/her to the enrichment location.
  5. If students are still missing the instructor must find out where they are. This may mean calling the parents. Instructor MUST verify ALL students!

Late Registrations:
If space is available, registrations will remain open throughout the first week. If students are registered after the end of the first week, it is the parent’s responsibility to email BOTH the vendor AND the students’ teacher to inform them what enrichment activity they are participating in. Vendors are responsible to check their roster on the website each week before their class to identify new sign ups.

Non-registered Students:
To ensure the safety of our students, please accept any student into your program who state they are in your program regardless of registration status. Provider must collect child’s full name and notify the After School Adventures staff via email of students not registered. After School Adventures staff will work with parents to get the child registered before the next class.

While Programs are Running:
There is no monitor in the building. Resolving behavior and discipline issues is the responsibility of the provider.

Pick-up:
For the safety of the students, Odyssey doors will be locked while enrichment programs are running. At the end of the session, students allowed to walk home will sign themselves out with the instructor and leave. Providers will walk all other students to the cafeteria and wait outside the cafeteria for parents. The provider will be in charge of letting appropriate parents in at that time and having them sign their child out of the program. Instructor will take Tammy Tyme students back to the cafeteria and sign in with Tammy Tyme personnel. If a student is not picked up, the instructor will call the parent to try and locate them. After 5 minutes past the end of class if students are not picked up, the provider will communicate with Tammy Tyme personnel and the student will remain with Tammy Tyme until the parent arrives.

Allergies/Medical Requirements:
Parents and Guardians of participants with allergies, asthma or other medical conditions must complete the DPS Student Medication Request Release Agreement (located on the DPS website) and provide their own medication to the instructors.

After School Behavior and Discipline Policy:
An after school program is defined as a program offered outside of the regular school day. These programs may be offered by approved outside providers or staff members acting in the capacity of an outside provider. Programming may include students who are not current or projected students of the School.

After School Behavior and Discipline Policy:
The School follows all Denver Public Schools Behavior and Discipline Policies. It is the goal of the School to provide a safe environment for all students in any after school program. The School does not provide an onsite monitor. The instructor/provider will handle any discipline related issues that arise during the transfer between the end of the school day and the beginning of an after school program. It is the responsibility of the provider to contact the parents with any issues that cannot be dealt with during the program.

Parents will be required to immediately pick up any student who has been removed from a class regardless of whether DPS Safety and Security are notified. Students who are removed from the classroom for discipline reasons will not be allowed to return to that class, or any other, for the remainder of the school year and will not be eligible for any refund.

Emergency Procedures:

Lockdown:
Notified on PA system usually by facilities personnel after hours. Instructors shut and lock doors.

Internal Threat:
Place students away from interior doors and toward window so outside help can see students.

External Threat:
Place students away from windows.

Fire:
Instructors take students “down and out.” All students go out with instructor. Providers go immediately outside with class list and the attendance of all students. Monitor verifies with facilities department which students are accounted for and which are missing.

Tornado:
Instructors take students to closest bathroom. Provider checks the attendance of students. Provider verifies with facilities department which students are accounted for and which are missing.

First Aid/CPR:
Please call 911 for medical emergencies.

NOTE: Monday and Tuesday Odyssey teachers may offer programs; Wednesday, Thursday and Fridays – outside providers offer programs.

After School Behavior and Discipline Policy:

It is the responsibility of the provider to email the school executive director (marcia@odysseydenver.org) with any behavioral issues that require contact with parents. The Odyssey School encourages providers to maintain high levels of discipline within their classroom. Providers are expected to maintain safe classrooms for all students. The Odyssey School encourages providers to settle behavior issues within the classroom. The Executive Director will determine if the offence requires a call to DPS Safety and Security by following the Denver Public Schools Discipline Matrix. If a parent/guardian’s concern is not addressed to their satisfaction, they may contact a representative of the Odyssey School's Board of Directors. This representative will work with parents to resolve the issue or may take the issue to the Board for inclusion at the next meeting. Parents are encouraged to work through the parent representatives of the Board. A list of Board members is available in the school office or on the Odyssey School of Denver website.
